What is a Pending User Request?

There are several ways that an OnStation user account can be associated to your organization. 

  1. A user can be manually created by someone who has been granted rights in your organization to manage user accounts.   More information on Manually Creating User Accounts can be found here: User Account Creation
  2. A user can sign up and then request access to an organization.   This then results in the a "Pending Request"  in the Portal that then awaits a someone to accept or reject that request.  The same users who can manually create users can also approve pending requests.

This article reviews how to review, manage, approve & deny Pending Requests from users requesting access and not the manual user creation. 

How am I notified a user access request is Pending?

Any OnStation user who has been set up to manage user accounts will get an email notification when a request is submitted.  The notification will look like the below pictured example.   One can click on the "View In OnStation" to be sent to the portal to approve. 

You can also view the outstanding requests at any time by logging into the OnStation Portal and navigating to via the Team -> Pending Requests 

Managing the Pending Requests in the Portal

  1. On the left of your screen, you will see a tab selection menu that resembles the photo below. Select the "Team" option
  2. You will then want to tap on the PENDING REQUESTS option.  You will now see a screen that looks like the below
  3. At the top of this page is a search bar where you can quickly search for and jump to a specific request.  You can also sort by any of the columns.
  4. For each request that is pending, you should see the Name, Email, Phone Number, Job Title that they entered as well as the date the request was submitted.   

    1. While we recommend requiring that the submitter verify their email address before you approve, it is up to your organization whether you want to approve or deny the pending request based on the information provided. Additionally you will see if the user has verified their email via the Email Verified column.  Email verification is the process of confirming whether an email address is valid, active, and able to receive emails.  Seeing the green checkmark means that the person submitting the request has not only validated their phone number but confirmed that they are receiving emails at the listed email address as well.
  5. If you choose to "Approve" the user request, this will associate the user to your organization. 
    1. The user account will then receive a text notification that reads "Message:    OnStation Here! Your request to join '{Name of your company here}' has been approved!

    2. Note that this will not automatically assign a license to the user.  To learn more about assigning licenses to a user please see: View/Adjust User's License
    3. If the user doesn't directly work for your organization but is doing work for or with your organization, when you approve the user you will see them as "Linked" to your organization.  This will indicate you have the ability to share information with this account but that they do not work directly for your company.  See the Linked and Non-linked user examples pictured below.

  6. If you choose to "Deny" the user request, the user will not be associated to your organization. 
    1. The submitter will receive a text request that reads: "OnStation Here! Your request to join '{Name of your company here}' has been denied."

Note: E-mail, First name, Last name, Organization and cell phone number are required. Job title is optional and can be edited at another time if needed. While we recommend requiring that the submitter verify their email address before you approve, it is up to your organization whether you want to approve or deny the pending request based on the information provided.
