Understanding User Permissions and Roles
You will soon be able to assign custom user permissions to control access to different features in both the mobile app and the web portal. This gives your organization greater flexibility in managing users and distributing responsibilities.
Permission Classes
These define what each user can manage across your organization. You can assign any combination of the following:
Permission Class |
Description |
Administrator |
Manage all organization data, settings, and users. Example : Limited users such as Senior leaders |
User Manager |
Manage users, groups, licenses, and training assignments. Example : HR staff, office admins, or team leads handling onboarding. |
Project Manager |
Oversee projects, project submissions, and tags. Example: Field project managers, CEIs, or supervisors. |
Integration Manager |
Manage system integrations for the organization. Example: IT staff or tech-savvy engineers (e.g., Trimble, FleetWatcher, HCSS). |
Data Manager |
Organize forms, flags, and location data. Example: Inspectors, quality control staff, or engineers. |
Safety Manager |
Manage safety features like Active Worksite. Example: Safety coordinators or superintendents. |
User Roles
In addition to permission classes, you can assign specific user roles for more granular access control:
- Form Reader – Can view form content only
- Form Writer – Can submit and write form data
- Location Data Reader – Can view material dump and density test data

Warning: To utilize Forms in the OnStation app, roles Form Reader and/or Form Writer will need to be assigned to the group the user is included in.
Legacy User Groups
To maintain consistency for existing users:
- All previous managers will be automatically moved into the Legacy Manager group with Administrator permissions.
- All previous users will be moved into the Legacy User group with access to projects and project submissions.
Note: Access to features will depend on your organization's licensing.
