OnStation: How To Bulk Import Flags

Bulk Import Flags: Get All Your Flags in a Row Before the Project Even Starts

Save time, prevent repetitive data entry, and set your project up for success with Bulk Import Flags in OnStation. Instead of adding flags one at a time, you can import an entire spreadsheet of flag data—complete with project‑specific dropdowns—directly into your project.

This workflow is perfect for teams preparing large‑scale projects, preloading asset locations, or organizing standard flag sets before crews hit the field.

How to Bulk Import Flags

1. Log in to the OnStation Portal

  • Go to your OnStation Portal.
  • Click the Projects tab.
  • Find the project you want to work in and click View.

2. Open the Import Tool

  • In the top‑right corner, click Options.
  • Select Import from CSV.

3. Download Your Project‑Specific Template

At the top of the Import screen, click Download Template.

A new template must be utilized for each bulk import session.

This is where the magic happens—your template is project‑specific and includes dropdown menus for key fields such as:

  • Icon Types
  • Alignments
  • Owner
  • Share
(NOTE: PROJECT Share shares to anyone and everyone who may access the project)
  • Tags
  • Work Items

These dropdowns ensure your spreadsheet only contains values that OnStation will accept, drastically reducing import errors.

All dropdown lists are generated based on your organization, the project, and your configured metadata.

Location Formats

Alignments are required when station and offset are selected as the location format.

4. View Helpful Reference Lists Before Filling Out the CSV

Before you start entering data, you can tap any of these reference sections to see your available options:

Project Alignments

Shows all alignments available on the project so you can match flag locations accurately.

Forms Info

Lists:

  • All forms available to your organization
  • Their configured icons

This helps ensure your imported flags use the correct icons that trigger the intended forms.

Work Items

Displays your project’s available work items so you can tag flags consistently.

These tools help you fill out your CSV correctly the first time.

5. Upload Your Completed CSV

Your CSV is complete when at minimum the Flag icon is selected, there is a Title, a Location, and an Owner. Imports are case sensitive

Once your CSV is ready:

  1. Return to the project’s Options → Import From CSV.
  2. Upload your file using drag and drop, or click Browse.
  3. After upload, you’ll see a Validation Preview Window.

This preview shows how each CSV field maps to the flag fields in OnStation so you can confirm everything looks correct before importing.

6. Validate & Create Flags

  • If all values align correctly, click Create Flag(s).
  • If any rows contain errors, OnStation will display a detailed message showing which fields need attention.

All rows must be valid for the import to succeed. Even one incorrect line will block the full import.

Correct any flagged errors in the CSV, then attempt the import again.
