How to Set Up Active Worksite for Your Organization

Wondering how to set up Active Worksite™ for your organization? Let's talk about the steps for purchasing, administrative setup, and enabling it in the OnStation App.

Our Active Worksite product enables OnStation to report your location in real time in order to highlight active work zones and the workers within those boundaries. This helps improve team coordination and safety by giving visible indicators of when a job site is actively being worked on and how many people are currently working in that construction zone.

Step 1: Request Active Worksite for Your Organization

If your organization is interested in using Active Worksite, reach out to OnStation to initiate the purchase process—similar to how you’d purchase additional licenses.

  • Note: Anyone can submit a request, but final approval must come from an admin or manager within your organization.

Step 2: Admin Setup and Responsibilities

Once the purchase is confirmed by OnStation:

  • An Organization Admin must log in to the OnStation web portal.
  • Navigate to your Organization Settings via your profile menu.
  • Locate the Active Worksite feature under Features or Project Options.
  • Toggle Active Worksite ON for your entire organization.
  • Save the settings.

Once Active Worksite is enabled:

  • Inform relevant team members that it is now available.
  • Distribute onboarding materials or training documentation as needed.

Step 3: Who Can Enable Active Worksite and How

Individual users must activate Active Worksite on their own devices. This is done on a per-user basis and does not affect others in the organization.

To enable Active Worksite in the app:

  1. Open the OnStation mobile app.
  2. Select a specific project or an undefined project.
  3. Make sure your location services are turned on.
  4. Tap the shield icon in the lower left corner of the screen to enable Active Worksite.
  5. Allow the app to run in the background:
    1. This setting allows location tracking to continue even if the app is minimized or your device is locked.
    2. A notification will alert you if tracking is interrupted.

Each user must enable Active Worksite individually. One person turning it on does not activate it for others. There’s no limit to the number of users who can activate it.

How it Works Behind the Scenes:

Once Active Worksite is ON, OnStation reports your location to the system every 30 seconds.

As long as you're within 50 meters of the location you initially enabled Active Worksite, a green dot will appear at your location on the map, showing others you're present at the worksite. From the point you turn on Active Worksite, the map updates almost instantly. Then iCone serves as the liaison to report location updates in 5 minutes increments to our GPS navigation partners such as Waze.

Auto Shutoff: What Happens if You Leave?

If you move more than 50 meters away from your starting point, for more than 30 minutes, your green dot will disappear within seconds of that 30-minute timer expiring. You will then receive a notification letting you know that your location is no longer being tracked. It's important to note that this will only stop tracking YOUR location. If any of your other teammates who enabled Active Worksite are still within 50 meters of their starting location. Their green dots will remain on the project map and continually be reported to iCone & Waze unless they do the same and stray away from their starting point more than 50 meters, and for more than 30 minutes.

Why does the app stop tracking my location if I’m away from my worksite for more than 30 Minutes? The app will automatically turn off Active Worksite to:

  • Save your phone’s battery
  • Avoid sending unnecessary location data
  • Protect your privacy

Why Does Active Worksite Not Shut Off Immediately When You Walk Away?

First off to ensure that we provide the most accurate location details to oncoming traffic to keep you guys as safe as possible while onsite. Also, GPS can be inaccurate or drop off temporarily (ex: walking behind a truck or losing signal). To avoid annoying you with constant reactivation prompts or sudden loss of tracking, the app waits a full 30 minutes of inactivity before disabling Active Worksite.

Best Practices:
Turn Active Worksite on when you arrive at a site to help others know where work is
happening. Manually turn it off when you leave for the day, go to lunch, or
are no longer working. Don’t worry about it if you forget—OnStation has your back
with auto shutoff after 30 minutes of inactivity.
