OnStation Tags: Powerful Filtering Tools

Tags in OnStation give your team an easy, visual, and organized way to label flags, track workflow status, and quickly filter what matters—both in the app and the Portal. Tags can be applied automatically through forms or managed manually by users, making them a flexible tool for any organization.

Below is a full guide on how tags work, how they improve efficiency, and how to access and manage them across OnStation.


Managing Tags in the App

Whether used for form workflows, crew coordination, or large‑scale reporting, tags help teams stay organized, accurate, and efficient.

Users can add, remove, or create tags directly inside the OnStation mobile app.

Accessing Tags

  1. Open the OnStation App and select your project.
  2. Tap the flag you want to update.
  3. Tap the Tags icon.

You’ll now see:

  • Project Work Items
  • Organization Tags 

Adding a Tag from the Existing Library

  1. Tap Add+ to add a tag to the flag.
  2. Selected of the project tags available. 
  3. The chosen tags will appear under Assigned Tags .
  4. Exit tag menu when you have completed adding tags.

 


Adding a Custom Tag (Personal Use Only)

If you don’t see a tag you need:

  1. Type the desired tag name into the search bar.
  2. Tap Add Custom Tag.
  3. Edit the name if needed.
  4. Tap Add

This tag is only for your device and workflow—not the entire organization.


Removing a Tag

  1. In Assigned Tags, tap the X next to any tag.
  2. The flag will update immediately.


Managing Organizational Tags in the Portal

Creating tags for the entire organization is done in the OnStation Portal.

How to Create Organization‑Wide Tags

  1. Log into the Portal.
  2. Click Tags in the left menu.
  3. You’ll see default OnStation tags (these have no Remove option).
  4. Click Add Tag to create a new organizational tag.
  5. Name the tag and click Add Tag.

This new tag:

  • Appears instantly in the Portal
  • Becomes available to every user
  • Shows up in the app’s Project Tags list

You can remove these tags later if needed by tapping Remove to the right of the Tag list.


Automatic Tags: Smarter Workflow Status & Instant Sorting

OnStation Forms can automatically apply tags to a flag based on settings configured in the form. This makes it simple to label flags with workflow statuses such as:

  • Complete
  • Needs Review
  • Incomplete
  • Pending Inspection
  • Or any custom tag your organization uses

Why Automatic Tags Matter

1. Instant Status Labeling

Once a user completes  a form, the correct tag is immediately added to the flag.
Example: A form set to apply the tag “Complete” will mark the newly saved flag with that tag automatically.

2. Better Filtering in the App

Tags let field users quickly narrow down what they need to see.

3. Better Filtering in the Portal

Tags make searching and exporting far simpler.
Even if multiple forms share the same icon (example: all red flags), filtering by the tag "Complete" will return only the flags containing the tag "Complete".

4. Clear Workflow Communication

Both field and office teams instantly know:

  • What needs review

Using a combination of flag icon + tag, OnStation creates a transparent operational workflow that’s easy for everyone to follow.
